Duties:
The Administrative Coordinator will support the Strategy, Equity and Advancement (SEA) team. The SEA team is responsible for a range of projects and initiatives that pertain to human services, specifically child and family well-being. The Administrative Coordinator will provide support to the ongoing and essential operations of the SEA team, including administrative duties, internal and external communications management, and the support of various project, policy, and process initiatives.
To successfully manage these responsibilities, the Administrator Coordinator must possess skills that would enable them to effectively complete the following duties:
Setup and manage the logistics for various in-person and virtual team meetings and stakeholder convenings
Prepare meeting agendas, host and facilitate meetings, and prepare and distribute meeting minutes
Establish procedures for preparation of documents, processing of materials, and maintenance of records
Prioritize and manage time-sensitive tasks
Receive, screen, review, and verify documents, forms, claims, and other documents for completeness, content, and accuracy
Complete data entry and maintain large amounts of data
Create and maintain digital filing systems for SEA team projects and initiatives
Support team initiatives by gathering, reviewing and summarizing relevant resources such as research articles, news, and websites
Support distribution of physical and digital communications related to SEA team projects and programs
Work collaboratively with administrative support staff at OCFS and at partner organizations to schedule meetings and events
Arrange travel and reconcile travel related expenses and reimbursements
Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications
Provide outstanding internal and external customer service with a professional demeanor
Support department staff and management with troubleshooting and problem-solving skills
Edit and proofread various types of documents as needed
Create and respond to correspondence from external resources and vendors
Escalate issues to supervisor’s attention and propose solutions where applicable
Engage and communicate effectively with staff from OCFS as needed
Other duties as assigned
Qualifications:
Associate degree from an accredited higher educational institution; 4-6 years of related experience; or equivalent combination of education and experience
Strong attention to detail is required to be successful in this role
Ability to effectively synthesize information
Self-starter who can work independently and as part of a team
Strong written and oral communication skills
Excellent editing and proofreading skills
Working knowledge of online meeting platforms
High degree of flexibility and adaptability
Proficient in MS Office 365 and software applications needed to perform the essential duties of the position
Experience working for or frequently interacting with a non-profit organization or social service organization is a plus
A basic knowledge of childcare, child welfare, and social services is strongly preferred
