Duties:
The Executive Assistant (EA) reports directly to and provides support to the Executive Director. The EA serves as a liaison to the Board of Directors and senior management team; organizes and coordinates executive outreach and external relations, efforts; and oversees special assignments. The Executive Assistant must be mission- and results-driven with effective communication skills.

Other duties to be performed by this role will include:

  • Communicate directly, and on behalf of the Executive Director and senior management team, with Board members.

  • Work closely and effectively with the Executive Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

  • Conduct research, prioritize, and follow up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature.  Identify the appropriate course of action, referral, and/or response.

  • Provide a bridge for smooth communication between the Executive Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior staff.

  • Serve as lead on special assignments including strategic initiatives and projects, as directed by the Executive Director, in support of the mission of YRI.

  • Establish procedures for preparation of documents, processing of materials, and maintenance of records.

  • Receive, screen, review, and verify documents, forms, applications, claims, and other documents for completeness, content, and accuracy.

  • Take initiative to anticipate needs/developments and act accordingly while ensuring all relevant parties are kept apprised of the status.

  • Coordinate arrangements and provide support for meetings, courses, and professional development events.

  • Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications.

  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.

  • Demonstrates proactive approaches to problem-solving with strong decision-making and critical thinking capabilities.

  • Other duties asassigned.

Minimum Qualifications:

  • Associate’s degree or equivalent in business administration or related field and at least 2 years of prior experience working as an Executive Assistant in mid to senior-level administrative, business management, or related field.

  • Ability to navigate competing priorities and time-sensitive tasks.

  • Expert level written and oral communication skills.

  • Interest in working for a growing non-profit organization.Self-directed and able to work without supervision and demonstrated ability exercising situational discretion.

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail.

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.

  • Highly resourceful team-player with the ability to also be extremely effective independently.

  • Able to perform all clerical duties, taking minutes, maintaining files  and confidential information and organizing documents as needed.

  • Experience working for or frequently interacting with a non-profit organization or social service organization is a plus.

  • Proficient in MS Office 365 and software applications needed to perform the essential duties of the position.

Additional Information:

A valid NYS Driver’s license is required.
