Duties:
The Office Assistant/Coordinator, under the supervision of the Training Coordinator/Supervisor, supports YRI’s training administration and logistics. They will provide training operations support for program activities. They will maintain information on training courses and trainee attendance and resolve related issues.  The Office Assistant/Coordinator will use the Human Services Learning Center (NYS Office of Children and Family Services’ (OCFS) learning management system). The Office Assistant/Coordinator will carry out all duties and responsibilities listed in detail below.

  • Establish procedures for preparation of documents, processing of materials and maintenance of records.

  • Receive, screen, review and verify documents, forms, applications, claims and other documents for completeness, content, and accuracy.

  • Input courses in the learning management system, track completion of training course attendance and generate reports on training metrics.

  • Support the tracking and reconciliation of lodging and follow up on trainee travel issues as needed.

  • Generate copies of training program materials such as curricula, roster, and evaluations.

  • Select and engage consultants, auditors, and investors.

  • Coordinate arrangements and provide support for meetings, courses, and professional development events.

  • Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external resources and vendors such as hotel representatives.

  • Bring issues to supervisor’s attention and propose solutions where applicable.

  • Other duties as assigned.

Minimum Qualifications:

  • Associate degree from an accredited college or university.

  • Two years of related administrative experience. 

  • Strong attention to detail and ability to navigate multiple priorities and time-sensitive tasks.

  • Proficient in MS Office 365 and software applications needed to perform the essential duties of the position.

Preferred Qualifications:

  • Experience working or interacting with a non-profit or social service organization is preferred.

Additional Information:

A valid NYS Driver’s license is required.
