Office Assistant - Program Management Team

Duties:
The Office Assistant for Training and Events, under the supervision of the Program Supervisor, supports YRI’s training and event administration and logistics. They will provide training and event operations support for the Program Management (PM) Team, including travel and lodging and related processes including inclement weather and lodging escalation.   The Office Assistant will be responsible as the point of contact for multiple internal and external processes that support training and events at the OCFS Human Services Training Center. The Office Assistant will carry out all duties and responsibilities listed in detail below.

  • Review and process travel reimbursement forms.

  • Support and tracks lodging including scheduling, changing, canceling and assisting with lodging concerns.

  • Support the inclement weather policies including communication with OCFS and other stakeholders

  • Provide in-office support as point of contact with PM Team with SDCs and other stakeholders and receive and process all mail for the team.

  • Research and provide data on venues for conferences and other events. Coordinate event logistics including ordering materials, arranging meals and overnight accommodations.

  • Manage the PM Team Roadmap Meetings, collecting agenda items and taking notes.

  • Manage the PM Team files in SharePoint including folder management and updating documentation as needed.

  • Prepare and submit orders for printed materials including manuals and other curriculum.

  • Regularly works in collaboration with staff at the OCFS Human Services Training Center.

  • Bring issues to supervisor’s attention and propose solutions where applicable.

  • Assist with the submission of quarterly reports and other project-related documents, as needed.

  • Other duties as assigned.

Minimum Qualifications:

  • Associate degree from an accredited college or university.

  • Two years of related administrative experience including experience with training and/or event management.

  • Strong attention to detail and ability to navigate multiple priorities and time-sensitive tasks.

  • Strong customer service skills and proven ability to work with multiple stakeholders simultaneously.

  • Experience working with or managing databases.

  • Proficient in MS Office 365 including shared drive and SharePoint and other software applications needed to perform the essential duties of the position.

  • Ability to work variable days and work hours and travel occasionally throughout NYS, including travel to areas that may not be served by public transportation.

Preferred Qualifications:

  • Experience working or interacting with a non-profit or social service organization is preferred.

Additional Information:

A valid NYS Driver’s license is required.
