Duties:
The Program Office Assistant supports YRI’s training administration and logistics. The Program Office Assistant provides training operations support for program activities, maintains information on training courses and trainee attendance, and resolves issues. The Program Office Assistant will use the Human Services Learning Center (OCFS’ learning administration system).
Establish procedures for preparation of documents, processing of materials, and maintenance of records.
Receive, screen, review, and verify documents, forms, applications, claims, and other documents for completeness, content, and accuracy.
Input courses in the learning management system, track completion of training course attendance, and generate reports on training metrics.
Support the tracking and reconciliation of lodging and follow up on trainee travel issues.
Generate copies of training program materials such as curricula, rosters, and evaluations.
Coordinate arrangements and provide support for meetings, courses, and professional development events.
Gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications.
Create and respond to correspondence from external resources and vendors such as hotel representatives.
Escalate issues to supervisor’s attention and propose solutions where applicable.
Other duties as assigned.
Minimum Qualifications:
Associates degree from an accredited higher educational institution; 2-4 years of related experience; or equivalent combination of education and experience.
Strong attention to detail is required to be successful in this role.
Ability to navigate competing priorities and time-sensitive tasks.
Strong written and oral communication skills.
Interest working for a growing non-profit organization.
Experience working with a learning management system is a plus.
Experience working for or frequently interacting with a non-profit organization or social service organization is a plus.
Proficient in MS Office 365 and software applications needed to perform the essential duties of the position.
Additional Information:
A valid NYS Driver’s license is required.
